Privacy policy.

How Happy Mind Society collects, uses, stores, and protects personal information across the website, learner account, and Android app.

Effective date: 2 July 2026. This policy replaces the website and app privacy policy dated 4 August 2025.

1. Who is responsible for your information

Happy Mind Society is responsible for deciding how personal information collected through its website, services, and Android app is used. In data protection terms, Happy Mind Society is the data controller.

2. Information we collect

We may collect your name, email address, account and sign-in details, purchase and entitlement records, course progress, saved learner activity, email preferences, affiliate or referral information, and messages you send to us.

If you use an optional journal or reflection feature, we store the content you choose to save so that you can return to it. Please do not use HMS as a clinical record or submit information about another person without their permission.

We may also receive technical information needed to operate and secure the service, such as IP address, browser or device type, sign-in and security events, pages requested, and basic usage events.

Payment details are entered with the payment provider. Happy Mind Society receives information such as payment status, product, amount, and transaction reference, but does not store full card details.

3. Why we use your information

We use personal information to create and secure accounts; provide courses, workbooks, downloads, and learner features; record purchases and access rights; save progress and requested reflections; answer enquiries; prevent misuse; maintain the service; and meet legal, tax, accounting, and safeguarding obligations.

We use consent where you choose to receive marketing. You can unsubscribe at any time. We use contractual necessity to provide products, accounts, and requested services; legal obligation where records must be retained; and legitimate interests for proportionate service improvement, security, fraud prevention, and business administration.

Where an optional feature asks for information that may receive additional legal protection, we will explain this at the point of collection and obtain any consent required. We do not use private reflections for advertising.

4. Services that process information for us

The new HMS website is hosted by Vercel. Account, catalogue, learning, order, and service data is handled through the KHDS API and its private database. IONOS provides the HMS mailbox, Resend may deliver service or reporting emails, and Stripe processes card payments where checkout is available.

Google services may be used for operational documents and affiliate reporting. Referral information may be shared with the relevant affiliate where needed to calculate or verify commission, without giving an affiliate access to your private learning activity.

These providers process information under their own security and privacy terms. We only give them the information needed for their role. Some providers may process information outside the UK; where this happens, we rely on an applicable adequacy decision or recognised contractual safeguards.

We do not sell or rent personal information.

5. Cookies and service analytics

The site uses strictly necessary cookies or similar storage to keep accounts signed in, protect sessions, remember essential choices, and provide features you request.

HMS records limited first-party usage events to understand whether pages and learning features work. We will not place non-essential advertising or behavioural analytics cookies before obtaining any consent required by law.

You can control cookies through your browser. Blocking necessary cookies may prevent sign-in, checkout, or saved account features from working.

6. How long we keep information

Account, learning, and purchase records are kept while your account or access remains active and afterwards where reasonably needed to provide access, resolve disputes, prevent fraud, or meet legal and accounting requirements.

Support messages, operational logs, and optional saved activity are reviewed and deleted or anonymised when they are no longer needed. Marketing records are kept until you unsubscribe or we stop using the list, although a minimal suppression record may be retained so that we honour your choice.

Retention depends on the type of record and why it is held. You can ask about the retention period that applies to your information.

7. Your data protection rights

Depending on the circumstances, you may ask for access to your personal information, correction of inaccurate information, deletion, restriction, or transfer of information, or object to particular uses. Where processing relies on consent, you may withdraw that consent without affecting earlier lawful use.

You have an absolute right to object to your personal information being used for direct marketing. Use the unsubscribe link in an email or contact us.

To make a request, email info@happymindsociety.com. We may need to confirm your identity. Data protection rights are not absolute, and we may retain information where the law requires or permits it. You may also complain to the UK Information Commissioner’s Office at ico.org.uk.

8. Children and Happy Mind Society Jr

The main Happy Mind Society website and app are not intended for independent use by children under 13. Happy Mind Society Jr is a separate service for younger audiences and should be used with appropriate parent or carer involvement.

We do not knowingly create accounts for, or collect personal information directly from, children under 13 through the main HMS service without appropriate permission. Contact us if you believe a child has supplied information inappropriately.

9. Android app privacy

The Happy Mind Society Android app provides mobile access to HMS content and web-based services. The current app is not intended to access your contacts, camera, microphone, or precise location, and HMS does not use it for cross-app advertising tracking.

When you sign in, complete a form, make a purchase, or use an account feature through the app, the same information and protections described in this website policy apply.

10. Security, decisions, and policy changes

We use reasonable technical and organisational measures to protect personal information, including access controls, secure connections, restricted administration, and service monitoring. No online service can promise absolute security.

HMS does not currently make decisions based solely on automated processing that produce legal or similarly significant effects for users.

We may update this policy when services, providers, or legal requirements change. The effective date at the top will show when the latest version took effect.
